Terms of service

These terms are between Greenwave Desk Ltd (company number [COMPANY NUMBER], registered office [REGISTERED ADDRESS]) and the business that signs up ("you").
1. The service and your account
1.1 Greenwave Desk brings a business's inboxes into one sorted list and drafts replies with AI. It is for businesses only, not for personal or household use.
1.2 The person who signs up must be at least 18 and able to accept these terms for the business.
1.3 You are responsible for everyone you invite to your account, and for keeping sign-in details safe. Tell us straight away at [CONTACT EMAIL] if you think someone else has got in.
1.4 Features marked Beta, and anything offered as early access, may change or be withdrawn while we improve them.
2. Trial, plans and payment
2.1 Every plan starts with 10 days free. You add a card when you start, and we don't take payment until the 10 days are up. Cancel before then and you pay nothing. Businesses that joined while we were testing have their free period until 21 October 2026.
2.2 The plans are:

2.3 Founding offer: the first 20 businesses to take Starter pay £39 for their first month, then the normal Starter price.
2.4 Monthly plans are paid in advance through Stripe, by card (or Direct Debit where we offer it), and carry on each month until you cancel. Prices include VAT where it applies.
2.5 You can cancel at any time in Settings, under Plan and billing. Cancelling takes effect at the end of the month you have paid for (or the end of your free period), and part months are not refunded.
2.6 We may change prices with at least 30 days' notice by email. You can cancel before a new price starts.
2.7 If a payment fails, we'll let you know and try again over the following days. If it still can't be taken, your plan stops until you update your card; your data is kept.
2.8 AI use has a fair-use limit set for each plan. If your use goes well beyond normal for your plan, we will talk to you before limiting anything.
2.9 Pilot businesses use Greenwave Desk free for the period agreed in writing, in return for regular feedback.
3. Your responsibilities
3.1 You confirm that you have the right to connect each inbox and calendar you add, and to let us handle the emails in them.
3.2 You control the personal data in your inboxes. Your own privacy notice should tell your customers and suppliers that you use services like Greenwave Desk to manage your email.
3.3 You must not use Greenwave Desk to:
- send spam, or marketing to people who haven't agreed to receive it
- send anything unlawful, threatening, defamatory or misleading
- break into, overload or copy the service, or get round its limits
- break any law, including data protection and marketing law
3.4 We can suspend an account that breaks these rules. We will tell you why and, where we can, give you a chance to put it right first.
4. AI drafts and automations
4.1 The AI sorts messages and writes drafts to save you time. It can get things wrong: a colour, a detail it pulls out, a date, a price or the tone of a reply.
4.2 You are responsible for checking drafts before you send them, and for everything sent from your accounts. That includes messages sent by automations you switch to Auto.
4.3 Every automation starts on Approve, so nothing sends without a tap until you change it. Anything involving money needs an extra confirm tap, and the activity log records what the AI did.
4.4 Fraud and bank-detail alerts are a help, not a guarantee. Always confirm a change of bank details with the supplier by phone before paying.
5. Your data, confidentiality and availability
5.1 Your data stays yours. We handle it only to provide Greenwave Desk, under our client data agreement, which forms part of these terms. Our privacy policy explains how.
5.2 We never sell your data, use it for advertising, or use it to train AI models.
5.3 Each of us will keep the other's confidential information private and use it only for this agreement.
5.4 You can export your data at any time from Settings.
5.5 We work to keep Greenwave Desk running at all times but can't promise it will never be interrupted. We will give notice of planned maintenance where we can.
6. Liability, ending the contract and law
6.1 Nothing in these terms limits liability for death or personal injury caused by negligence, for fraud, or for anything else the law does not allow to be limited.
6.2 Neither of us is liable for indirect or consequential loss, or for lost profits, revenue, jobs or business.
6.3 Our total liability in any 12 months is limited to the fees you paid us in the 12 months before the claim.
6.4 You can end the contract at any time by cancelling in Settings. We can end it with 30 days' notice, or straight away if you seriously break these terms or don't pay after a reminder.
6.5 When the contract ends, you have 30 days to export your data. We then delete it, as set out in the client data agreement.
6.6 We may update these terms with at least 30 days' notice by email. If you don't agree, you can cancel before the change takes effect.
6.7 These terms are governed by the law of England and Wales, and the courts of England and Wales decide any dispute.
